As part of the new phone service structure, you will have the ability to create, edit, and delete Ring Groups.
Note: Users who previously had access to update tracking numbers from the old phone service structure will have access to this feature.
If additional user group needs to have access to this feature, please inform the Support Team by submitting a Support Ticket at support.propertyvista.com as additional permission is required to be enabled.
Below are the step-by-step procedures on how to create, edit, and delete Ring Groups:
Note: An existing Route record for fallback is needed when creating Ring Group. If there is no existing Route, follow the steps in Creating Routes.
Creating Ring Group
1. From Lead Managing’s Dashboard page, click on Settings
2. Click Start Managing under Tracking Numbers
3. Click the Ring Groups tab
4. From the Ring Groups tab, click Add new Ring Group
5. Complete the following fields:

- Name - This will be the name of the Ring Group (the names do not need to be unique)
- [OPTIONAL] Extension - The extension number that the caller needs to dial before reaching the Ring Group.
- [OPTIONAL] Prefix - A prefix added to the caller ID for identification purposes.
- Fallback Route - The call will be transferred to this Route when the Destination Numbers of the Ring Group do not answer within the given timeout.
- Priorities + Timeout - Determines how long the destination number that belongs in the corresponding priority rings before timing out.

Note: The timeout values are 20 seconds by default.

- Destinations - These will be the numbers to which the call will be transferred.

i. There should always be at least one active destination.
ii. Each Destination should have a Priority, Name, and Destination Number.
iii. [OPTIONAL] Destination Number’s Extension - This extension number will be dialed after the Destination Number.
Note: The destination phone number must be in full format (e.g. +1 xxx xxxxxxx)
iv. [OPTIONAL] Confirm - This is a switch to enable the voice prompt “Press 1 to Confirm” before the destination number can answer the call and ensures that the call does not go to Voicemail.
6. Once all necessary fields are filled out, click Submit
Editing Ring Group
1. From the Ring Groups tab, click Edit next to the auto attendant record you wish to update
2. Update the necessary fields:

- Ring Group Name
- Extension
- Prefix
- Fallback Route
- Priorities + Timeout
- Destinations

3. Click Submit to update the Ring Group
Deleting Ring Group
1. From the Ring Groups tab, click Delete next to the auto attendant record you wish to update
2. A prompt will appear confirming if you are sure to delete the Ring Group, click OK
3. Deleted Ring Group will be removed from the list
