Ordering/Provisioning New Tracking Numbers

In an effort to update the LeadManaging phone service structure, we changed partnerships to update call routing and provisioning services. This is to streamline and simplify the process of acquiring and managing phone numbers.

Note: Users who previously had access to update tracking numbers from the old phone service structure will have access to order and provision tracking numbers.

If additional user group needs to have access to this feature, please inform the Support Team by submitting a Support Ticket at support.propertyvista.com as additional permission is required to be enabled.

Below are the step-by-step procedures on how to order/provision new phone tracking number(s) in Lead Managing:

1. From Lead Managing’s Dashboard page, click on Settings

2. Click Start Managing under Tracking Numbers


3. Click Order New Numbers

4. Choose at least one Building to order a tracking number

    • Click Add More if you’re ordering for more than one building
    • By default: Number Type (Local) and Country (CA) are auto populated

5. Select a Number Type (Local or Toll-Free), Country, and Region/State

6. Type a preferred Area Code, City, or Prefix - click Advanced Search to populate the results

    • Choose any of the Available NPA/NXX suggestions
    • If vanity numbers are required, click Special Trailing Digits to search for numbers with your preferred suffix (last 4 digits of the phone number)

7. Select how many numbers to be ordered

8. Once ready to place the order, click Submit Order and Confirm

9. The newly ordered numbers will appear on the Phone Service table at the top of the list

    • Note: Numbers highlighted in red indicate that setup is still incomplete (missing media source and/or not assigned to a Route), and number will not work.

10. To finish setting up, click the checkbox next to the newly ordered number(s) then click Edit

    • Note: Edit button will only appear if a tracking number is selected

11. Assign an existing Route and Media Source to the newly ordered number(s)

    • If there are no existing Routes, follow the steps in Creating, Editing, and Deleting Routes
    • If the media source is not available from the dropdown, please reach out to Support Team by creating a Support Ticket to have the media sources added and configured

12. Your newly ordered phone number is now activated and ready to be used
