As part of the new phone service structure, you will have the ability to create, edit, and delete External Transfers.
Note: Users who previously had access to update tracking numbers from the old phone service structure will have access to this feature.
If additional user group needs to have access to this feature, please inform the Support Team by submitting a Support Ticket at support.propertyvista.com as additional permission is required to be enabled.
What are External Transfers? External Transfers are a type of call flow that routes the call from the Lead Managing tracking number to an external number (such as the property’s phone number).
Below are the step-by-step procedures on how to create, edit, and delete External Transfers:
Creating External Transfer
1. From Lead Managing’s Dashboard page, click on Settings
2. Click Start Managing under Tracking Numbers
3. Click the External Transfers tab
4. From the External Transfers tab, click Add New External Transfer
5. Fill in the following fields:

- External Transfer Name (does not need to be unique)
- Destination Number

Note: The phone number must be in full format (e.g. +1 xxx xxxxxxx)

- Optional: Extension
- Destination Type: Real Phone or External System

a. Real Phone: To be used if the destination of the call is being pointed to an actual phone answered by a live person.
b. External Service: To be used when the destination of the call is being pointed to another third-party routing system / IVR (e.g. another call answering service or call center answering service).
6. Once filled out, click Submit
7. The newly created External Transfer will now appear on the External Transfers table and as an option to select in the Routes and Auto-Attendants table
Editing External Transfer
1. From the External Transfers tab, click Edit next to the external transfer record you wish to update
2. Update any of the following fields:

- External Transfer Name (does not need to be unique)
- Destination Number

Note: The phone number must be in full format (e.g. +1 xxx xxxxxxx)

- Optional: Extension
- Destination Type: Real Phone or External System

3. Click Submit to update the External Transfer
Deleting External Transfer
1. From the External Transfers tab, click the Delete button on the row of the External Transfer you wish to update
2. A prompt will appear confirming if you are sure to delete the External Transfer, click OK
3. Deleted External Transfer will be removed from the list
