July 2025 LeadManaging Product Updates

Improvements

  • Improved employee email and SMS templates to allow key prospect details to be included, helping leasing agents better understand what the prospect is looking for before and after a booking. This enhancement supports clearer communication and more efficient follow-ups.
  • Added a prompt during bulk event updates to confirm lead ownership when the agent is not the current owner. This ensures agents are aware that updating events may transfer ownership to them. Special messaging is shown for leads managed by Virtual Agent, helping prevent accidental interruption of Vivian’s nurturing. This update also improves page behavior by refreshing the entire view after bulk actions, ensuring all updated records remain visible.
  • Introduced a new setting to exclude specific lead categories from totals shown in the Dashboard Report and related reports. This helps ensure that non-qualifying leads (e.g., Junk or Test) do not impact key performance metrics. A note is now displayed on the report to indicate which categories are excluded, improving transparency. These changes provide a clearer and more accurate view of lead performance data while maintaining full visibility in data exports.
  • Added a new ID column on the New Leads Page (To Do’s and Processed) that consolidates both Booking IDs and Inquiry IDs for easier reference. This aligns the Leads Page with the Dashboard – Building Notes and helps users navigate lead information more consistently. The ID column is optional and can be enabled or disabled through the Edit Columns setting.
  • Vivian's nurturing emails now include a clear opt-out message in the footer, allowing recipients to reply with "STOP" to unsubscribe from further communication.
  • Added a visible inline message in Beta Reports page below the KPI milestone tiles to explain the Current Avg % and the arrow and percentage (%) change. This provides immediate context for interpreting KPI data more efficiently without needing to hover or click.

Fixes

  • Leads with a Tour contact stage and Tour event are now correctly included in the To Do export. This ensures that all relevant leads appear when filtering by contact stage and event type, providing a more complete and accurate report. The update applies to both the current and previous versions of the Leads/To Dos page.
  • Fixed an issue where email replies were not appearing in the thread and the ticket status stayed as 'No Response'. This was caused by a system value being passed in the wrong format. The issue has been resolved, and replies now appear correctly in the thread with the status updating to 'Responded' as expected.
  • Resolved an issue where last names were not appearing in the Guest Card and LeadManaging Event for leads who spoke with Vivian via SMS or Call. Now, when a lead provides their full name while interacting with Vivian through any channel (SMS, Call, Chat, or Email), both first and last names are accurately captured. This ensures complete lead information for better tracking and follow-up.
  • We’ve fixed an issue where some answered calls were incorrectly marked as "Voicemail - No Response," even though the prospect was able to speak with an agent. A new voicemail detection setting has been added to improve accuracy for external call transfers. This helps ensure that successful calls are properly recognized and not mislabeled, allowing for more reliable lead tracking and reporting.
  • Corrected an issue where the exported Leads file did not match the data shown on the Leads Page. The exported file now accurately reflects all relevant records and details, ensuring consistency between the displayed data and the downloaded file.
  • The Average Response Time in the Drill Down Report now correctly displays values at all levels, including All Building Totals. This ensures users can reliably view and assess response performance across all building data.
  • Updated the Beta Reports Overview page so that Admin users can now view accurate KPI tile data across all buildings within a PMC. This ensures consistent visibility of lead performance metrics without requiring building-level associations.
  • Resolved an issue preventing some Outlook events from appearing in the LeadManaging Calendar due to ASCII characters. The fix ensures all relevant events now sync properly, improving accuracy and visibility of scheduled activities.
