Leasing Engine Shop now supports real-time retrieval of floor plans, pricing, lease terms, and rentable items for Propexo-integrated buildings. This ensures users always see the most accurate and current property information when shopping and creating quotes.
 

Customer Benefit: Applicants and leasing teams can rely on up-to-date property details, improving the accuracy and efficiency of the leasing process.

 

Improvements

  • System-generated email templates were improved to ensure clear, professional, and consistent communication throughout the leasing process. Updates enhance personalization, reduce confusion, and provide applicants, co-applicants, and guarantors with clear next steps and actions. Emails are now easier to read across devices and better aligned with the platform's communication standards.
  • The lease agreement signing process was enhanced by implementing DocuSign, replacing the previous system while preserving existing user workflows and access for all leasing roles. The updated process supports countersigning and ensures signed documents are securely stored and accessible throughout the leasing journey. These improvements maintain a smooth and consistent user experience.
  • A new legal agreement flow was added to the leasing process, allowing applicants, co-applicants, and guarantors to digitally review and sign required documents. Signed agreements are now properly stored and connected to the lease record, ensuring a consistent and streamlined experience within the leasing journey.
  • Legal clauses can now be dynamically added to the leasing process and assigned to one or more applicant types. The updated flow includes support for various signature formats, including sign, agree, checkbox, and full name, aligning with how documents are handled across the leasing engine.
  • Enhanced the payment process to securely save applicants’ electronic check (PAD) payment details when they choose to do so during payment. Payment information is safely stored without keeping sensitive bank details. No payment receipt is sent if only payment information is saved without making a payment. Any issues during the saving process are communicated clearly, and the save is stopped to protect data integrity.
  • The application process has been updated to support more flexible payment configurations. Administrators/Leasing Team can now collect First Month’s Rent earlier in the application, helping ensure smoother payment handling and policy alignment. Additional improvements allow select fees to be configured for collection through the payment profile step, with more control over how payments are processed.
  • A new payment workflow has been introduced to support situations where payments must be collected prior to application approval. When certain payments require admin handling/processing, Admins must now complete the payment before proceeding with approval. This ensures payments are properly processed and confirmed, helping maintain accuracy and transparency throughout the leasing process.
  • To ensure clear and timely communication during the application process, invitations to co-applicants and guarantors will now only be sent after the main applicant’s required payment is successfully completed. This update helps prevent confusion and supports a smoother approval experience by aligning notifications with confirmed payments. If no payment is needed, invitations are sent immediately as before, maintaining simplicity. Additionally, applicants are informed when co-applicants or guarantors will be invited, ensuring transparency about the invitation timing based on payment status.
  • Download functionality was added to allow users to retrieve signed lease agreements, legal agreements, and legal clauses as PDFs. This supports offline access, record-keeping, and compliance by enabling files to be saved or shared outside the platform.
  • The Occupancy field in Leasing Engine Shop now accurately reflects the total number of occupants allowed per unit, calculated from the number of bedrooms and the configured occupants allowed per bedroom. This update ensures clear and consistent occupancy information during the shopping and application process.
  • Calendar availability and pricing views have been extended to allow move-in date selection up to 60 and 90 days in advance. This gives leasing teams and prospective renters more flexibility when planning ahead. The update also includes a 90-day option for unit turnover, while ensuring that only units ready within the 60-day window are shown as available.

 

Fixes

  • Improved the “Send Reminder” feature in the Application Stage of Leasing Engine Shop to ensure it no longer duplicates minor applicants. The number and type of applicants now remain accurate and unchanged when reminders are sent.
  • Enhanced the floorplan browsing experience in Leasing Engine Shop by fixing the image navigation functionality. The left and right arrows on the floorplan page now properly cycle through multiple images without opening the full-size modal. This allows users to quickly preview all available images in place. For a closer look, clicking directly on any image will still open the larger modal view with full navigation controls intact.
  • The "Apply Now" button in the quote email has been fixed to direct applicants straight to the Quote Summary page. This update removes previous confusion where users were sent to an incorrect page and received error messages. Now, applicants can easily review their quote and continue with the application process without interruption.
  • Improved the applicant experience in Leasing Engine Shop by preventing errors caused when the same email address is used for multiple applicants. The system now alerts users if a duplicate email is entered, ensuring smooth form submission and avoiding loading issues.
