May 2025 LeadManaging Product Updates

Highlight Feature

For Vivian-enabled properties, employee notification and reminder email templates can now be configured to include Priority and Sentiment Summaries. These summaries are insights from Vivian or conversation data at the time an appointment is booked.

Customer Benefit: This enhancement is designed to give leasing agents immediate context about upcoming appointments, such as the urgency (priority) and emotional tone (sentiment) of the customer interaction, helping them prepare more effectively.

Improvements

  • LeadManaging now includes a Lead Ownership prompt that encourages leasing agents to take ownership of prospects managed by the Virtual Agent (Vivian) when they engage through actions like changing contact stages, sending SMS or emails, calling, scheduling appointments, or adding events and notes.

Fixes

  • We’ve enhanced LeadManaging's availability logic to ensure that an agent’s availability—such as out-of-office times, holidays, and event blocks (whether for all buildings or specific buildings)—is fully taken into account before any appointment is booked. This helps avoid scheduling conflicts and ensures appointments are only made when the agent is truly available.
  • Prompt shown during bulk lead updates (within the guestcard page) has been updated to better communicate that changing ownership from a Virtual Agent to a leasing agent will pause Vivian’s nurturing, and that reassigning the lead back to the Virtual Agent is necessary to resume engagement.
  • We’ve updated LeadManaging’s email validation to allow addresses with special characters such as apostrophes ('), periods (.), underscores (_), hyphens (-), and the at symbol (@). This change makes the validation less strict to help prevent valid email addresses from being incorrectly rejected when creating users.
  • An update has been implemented to ensure Smart Surveys are properly enabled for buildings where they are intended to be active, ensuring the features work as expected.
  • We fixed an issue where emailed CSV Drill Down Reports from LeadManaging contained incorrect data values in some columns. Reports generated via the “Export” button matched UI data, but emailed reports did not. Emailed CSV reports now correctly reflect the data shown in the LeadManaging UI. We also ensured consistency between CSV exports from the “Export” button, “Email Now,” and scheduled reports.
