Removing Tenant Portal Access After a Lease Ends

Overview

When a lease ends through the notice or termination process, its status changes to Completed once the lease is no longer active.

A completed lease does not immediately remove the tenant's access to the Property Vista Portal. Tenants associated with the completed lease may still be able to log in and make payments toward any outstanding balance.

If portal access needs to be removed immediately, the lease must be closed.

Important: Completed vs. Closed Leases

  • Completed: The lease is no longer active, but the tenant may retain portal access for a period of time.
  • Closed: The lease is closed in Property Vista, and the tenant can no longer access the Portal.

To close a lease, it must first be terminated.

Prerequisites

Before closing a lease, it must be terminated. This can happen in one of two ways:

  • Wait for the lease end date: Allow the lease to reach its scheduled end date and proceed through the termination process.
  • Terminate the lease manually: Complete the termination process using the steps below.

Step 1: Terminate the Lease

1. Locate the Lease

Navigate to:

Tenants & Leases → Leases

Select the lease you want to terminate.

2. Terminate the Lease

Navigate to:

Actions → Vacate → Terminate

Enter the required termination date information and complete the termination process.

3. Set the Actual Move-Out Date

After terminating the lease, you must also set the Actual Move Out Date.

Navigate to:

Details → Actions → Move Out → Set Actual Move Out

Confirm the action by selecting Yes.

Enter the Actual Move Out Date and select OK.

At this stage, the lease has been terminated and the actual move-out date has been recorded.

Important: If the lease is not manually closed, tenants associated with a completed lease may continue to have portal access for a period of time. Access will eventually expire.

Yardi Users

For Yardi-integrated properties, leases cannot be manually closed through Property Vista. Tenant portal access will expire after a period of time once the lease is completed.

Step 2: Close the Lease

Once the lease has been terminated and the Actual Move Out Date has been set, you can close it to immediately remove the tenant's portal access.

Navigate to:

Actions → Close

Enter the reason for closing the lease and select OK.

Expected Result

Once the lease is successfully closed:

  • The lease is marked as closed in Property Vista.
  • The tenant can no longer access the Property Vista Portal through that lease.
  • The tenant will no longer be able to use the Portal to make payments against that lease.
